Role Overview
Answer inbound patient calls professionally and promptly
Respond to patient texts, voicemails, emails, and fax-related messages
Schedule new patient appointments and collect complete intake information
Confirm, cancel, and reschedule existing patient appointments
Prioritize new patient inquiries and referral opportunities
Follow up on missed calls, inactive patients, and rescheduling needs
Help convert patient inquiries into booked appointments
Maintain accurate scheduling notes and communication records
Coordinate with clinic staff to help protect provider schedules
De-escalate patient concerns involving scheduling, billing confusion, or insurance questions
Support communication workflows using Weave and MacPractice
Follow HIPAA and patient privacy standards at all times
Requirements
Prior experience as a Virtual Medical Assistant, Medical Receptionist, Patient Care Coordinator, Front Desk Coordinator, or similar healthcare support professional
Excellent spoken English with a clear and easy-to-understand accent
Strong written communication skills for patient-facing texts and emails
Comfortable handling high-volume phone calls in a fast-paced clinic
Strong empathy, emotional intelligence, and practical judgment
Detail-oriented and reliable with strong follow-through
Able to manage calls, texts, emails, voicemails, faxes, and scheduling tasks
Must own and work from a MacBook, iMac, or Mac mini
Must have reliable wired internet connection through LAN
Must be flexible with assigned shift and willing to work Saturdays if needed
