Creative Assistant, Production Coordinator – Prestation freelance

Role Overview

• Analyze the brand, its avatars and visual codes to identify relevant creator profiles.
• Outreach & negotiation: initial contact, project presentation, negotiation of terms.
• Serve as the operational point of contact throughout production.
• Deliver briefs, scripts and guidelines; clarify blocking points.
• Track schedules and deadlines: follow-ups, adjustments, escalate alerts to the Ops team.
• Receive and perform initial checks on rushes: compliance with guidelines, scripts and brand expectations.
• Provide structured feedback in case of non-compliance; coordinate reshoots if necessary.
• Onboard creators into the database (Tally / Notion) once selected.
• Maintain a clean, up-to-date and reliable database: productions, collaboration history, availability, negotiated rates.
• Send and track service contracts and rights assignment agreements.
• Collect required documents (identity, payment details, tax status documentation).
• Verify completeness of files before production starts.
• Receive and review invoices issued by creators (consistency, legal mentions, negotiated amounts).
• Centralize and forward to the accounting team for payment processing.
• Monthly reporting of invoiced volumes and tracking of outstanding payments.
• Coordinate logistics: time slots, participants, equipment, location.
• Prepare shoot dossiers (briefs, scripts, running order).
• Welcome brands and talent on set.
• Manage the day's schedule: start times, breaks, lunch, end of session.
• Arrange breakfast, lunch and coffee breaks.
• Provide occasional on-set assistance: move furniture, hold a prop, appear as extra if needed.
• Take notes at the Lead's request for editors (hooks to keep, parts to cut, timecodes) and hand them over at the end of the day.
• Monitor technical aspects of the location: power, internet, heating.
• Centralize rushes and pass notes to editors.
• Provide immediate feedback to the creative / Ops team.

Requirements

• Excellent command of written and spoken French.
• Proficiency with Tally, Notion and Sheets.
• Good understanding of UGC / TikTok / Meta Ads formats.
• Smooth communication with creators, project managers and editors.
• Regular availability for on-site bunker days in Romainville (93): 7–10 days/month during peak periods, schedule shared at the start of each month. The ability to travel to the site easily and regularly is essential to perform the role effectively.
