Role Overview
Maintain referral database and scheduling process
Coordinate assignment and scheduling for IRAS rights advice meetings in the service’s scheduling and referral-management system
Review completed online forms of referrals made by mental health facilities through the scheduling portal for accuracy and completeness
Maintain other tracking documents and registers for managing availability and facility in-person visits
Respond to routine technical and database-related inquiries to support virtual meetings and the referral scheduling system
Provide phone and email-based scheduling support to service users such as mental health facilities, clients and staff
Answer basic general correspondence by phone and email about what the Rights Advice Service provides and how to access it
Document requests for IRAS service information made by the public
Prepare and provide data reports, charts, tables, power point presentations etc on referral trends and statistics to CMHA Leadership as needed
Maintain organized files and suggest improvements to supervisor for shared file repositories by the IRAS team.
Requirements
Relevant post-secondary certification in Office Administration
Demonstrated experience managing appointments and scheduling for a large or complex service, including personal information
Customer service experience, preferably in a healthcare setting
Demonstrated experience providing client/customer support in a virtual environment
Personal experience with mental health issues, services, or involuntary treatment is an asset in this role
Demonstrated experience communicating in a welcoming, trauma-informed and culturally safe way
Experience working with others using collaboration and relationship-based approaches
Successful completion of background screening checks including a criminal record check and education verification.
