About this role
Role Overview
Own end-to-end speaker logistics for events, including onboarding, communication, travel coordination, and on-site support
Serve as the primary point of contact for speakers, ensuring a high-quality, professional experience from confirmation through post-event follow-up
Coordinate travel arrangements (flights, hotels, ground transportation) in alignment with budget and company policies
Manage speaker schedules, session details, and rehearsal timelines to ensure smooth program execution
Partner cross-functionally with programming, marketing, production, and operations teams to align on speaker needs and event requirements
Track and maintain accurate speaker records, contracts, bios, headshots, and presentation materials
Ensure timely collection and review of speaker deliverables (presentations, AV needs, special requests)
Anticipate and resolve logistical issues proactively, both pre-event and on-site
Support on-site execution, including speaker check-in, green room management, and session transitions
Monitor budgets related to speaker travel and logistics, identifying cost efficiencies where possible
Continuously improve speaker processes, tools, and communications to enhance efficiency and experience
Requirements
3 years+ of experience in event operations, conference production, speaker management, or a related field
Proven experience supporting logistics for multi-speaker programs, ideally within B2B or large-scale conferences
Demonstrated ability to manage multiple projects and deadlines in a fast-paced environment
Strong organizational skills with high attention to detail and follow-through
Self-motivated, strategic thinker with a collaborative, solution-oriented approach
Experience in Swoogo and Sessionboard is a plus
Exceptional organizational, project, and time management skills with a strong attention to detail
Proficiency in the MS Office suite (Word, Excel and Power Point)
Knowledge of and interest in information security markets desired
Strong oral and written communication skills, and executive presence
Able to lift up to 20 lbs
Ability to travel periodically throughout the year to support onsite events operations.
