The 2nd Shift Administrative Assistant will assist in by providing office support to ensure that the operation is in compliance with company record-keeping policies and responsive to the needs of its clients. The administrative assistant handles routine and advanced duties for supervisors and managers by being the initial point of contact, answering phones and filtering information respectively.
- Weekly payroll of 120 plus employees and ensuring employees get paid in a timely fashion.
- Generating service request tickets reported by porters/matrons, supervisors, manager, and clients in the building.
- Closing out all service request tickets on a daily basis.
- Assigning tasks to porters/matrons.
- Assigning tickets and working alongside foreman to ensure smooth building operation.
- Working alongside Supervisors and Project Manager to simplify their daily tasks.
- Creating/uploading reports requested by Building Office and Supervision.
- Monitoring Tork Dashboard for toilet paper/hand towels throughout the building to ensure the building restrooms are fully stocked.
- Closing out QAT tickets.
- Closing out periodic work orders throughout the month.
- Generating work orders, scanning, and closing out on a monthly basis.
- Performing clerical duties to schedule safety talks, ensuring the porters/matrons are compliant with building operation changes.
- Keeping track of cleaning supply inventory and ensuring we have enough stock to operate the building.
- High school diploma or equivalent; associate or bachelor's degree preferred.
- Proven experience as an administrative assistant or in a related role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Attention to detail and problem-solving abilities.
- Ability to work independently and as part of a team.
- Professional demeanor and strong interpersonal skills.
- Ability to handle sensitive information with discretion.
Preferred Skills:
- Experience with office management software, such as CRM and ERP systems.
- Knowledge of basic bookkeeping and office administration.
- Familiarity with project management tools and techniques.
