Open Therapy Institute (OTI) is a nonprofit addressing socio-political bias in mental health care. They are seeking a Project Manager to ensure that major organizational initiatives are clearly scoped, properly sequenced, and delivered on time, translating executive priorities into coordinated execution across various programs and projects.
Responsibilities:
- Scope and execute major organizational initiatives from planning through completion
- Build timelines, define deliverables, and track milestones
- Coordinate across marketing, fundraising, programming, and operations
- Identify sequencing conflicts or capacity constraints and recommend practical adjustments
- Anticipate project risks and proactively propose solutions before issues escalate
- Provide regular execution updates to the Vice President of Operations
- Coordinate workshop logistics, speaker materials, and preparation
- Manage Thinkific updates and program-related digital infrastructure
- Coordinate accreditation requirements with external partners
- Oversee post-workshop surveys, certificates, and reporting
- Track program-related metrics and documentation
- Serve as the internal coordination lead for OTI’s annual conference, collaborating closely with the Vice President of Operations and contracted event support to ensure timely and aligned execution
- Manage monthly newsletter production and promotional email scheduling
- Support social media coordination tied to active initiatives
- Maintain website updates related to programs and organizational initiatives
- Manage membership communications and serve as a primary point of contact for general inquiries
- Track journal submissions and publication timelines
- Coordinate editorial board meetings and documentation
- Support journal-related communications and distribution logistics
- Coordinate implementation of operational projects such as CRM implementation, website updates, and new internal tools
- Translate executive decisions into structured implementation plans and timelines
- Coordinate contractors and vendors involved in assigned projects
- Track milestones and surface execution risks to the Vice President of Operations
- Coordinate execution of partnerships with aligned organizations and institutions
- Coordinate logistics for joint initiatives, cross-promotions, and collaborative events
- Track partnership deliverables and ensure commitments are fulfilled
- Serve as the primary point of coordination for partnership-related follow-through
- Provide limited executive and scheduling support necessary to ensure initiatives move efficiently
- Assist with formatting and proofreading presentations, documents, and related materials for President
- Handle ad hoc operational tasks that arise in a lean organization
Requirements:
- 5+ years of experience in operations, project management, nonprofit administration, event management, or a related field
- Demonstrated experience owning complex projects from planning through completion
- Strong organizational and logistical skills; ability to manage multiple initiatives and deadlines simultaneously
- Experience coordinating across teams, contractors, and external vendors
- Clear, practical judgment and ability to make decisions within defined guardrails
- Strong written and verbal communication skills
- Comfortable working in a lean, growing organization where roles require both ownership and hands-on execution
- Ability to anticipate obstacles and proactively propose solutions
- Experience in nonprofit, healthcare, education, or mission-driven organizations preferred
- Alignment with OTI's mission and comfort engaging with sensitive socio-political issues in mental health
