Description
We are looking for a detail-oriented and proactive Collections Specialist to help manage customer accounts and ensure invoices are paid on time. In this role, you will communicate with customers by phone and email to resolve past-due invoices, answer billing questions, and keep accurate records of all account activity.
This position plays an important role in maintaining positive relationships with our customers while helping the company meet its payment and collections goals. The ideal candidate is organized, comfortable communicating with customers, and persistent in following up until issues are fully resolved.
Essential Job Duties
- Contact customers by phone and email regarding past-due invoices and work with them to resolve outstanding balances
- Follow up on accounts until payment or resolution is reached
- Write clear and professional emails regarding invoices and billing matters
- Build and maintain positive working relationships with customers and company agents
- Respond to incoming calls and emails related to billing questions or invoice issues
- Send chargeback and adjustment notices to agents when applicable
- Provide aging reports to customers or agents when requested
- Manage and send collection letters to shippers and consignees
- Assist with special billing processes, including submitting invoices through customer billing portals or uploading required documentation
- Escalate accounts to management if customers are unresponsive or if payment activity slows down
- Record all communications and account activity accurately in the company’s system
Requirements
Required Qualifications
- High School Diploma or equivalent
- Office experience
- Technologically proficient
- Proficient with operating Microsoft Outlook
- Customer service oriented
- Effective negotiation skills
- Basic math skills
- Strong attention to detail
- Strong organizational and time management skills
- Excellent communication skills
- Proactive follow up and follow through skills
- Strong sense of urgency
- Ability to quickly pivot from one system to another (Outlook, Trucking Management System, web-based programs)
Preferred Qualifications
- Collections experience
- Proficient with operating Microsoft Excel
