Job Summary This position is a highly experienced professional who acts as the strategic advisor for and manages multiple Committee programs and activities that are financially sponsored by IEEE-USA. This position manages these activities in accordance with IEEE policy and industry best practices.
The incumbent in the role demonstrates professional expertise delivering innovative content and events, enabling a collaborative environment, and acting in many cases, as the bridge between internal IEEE-USA and IEEE staff and IEEE-USA volunteers. The Committee Program Manager will ensure that all activities in their assigned communities deliver on strategic objectives and are engaging and meet the business objectives of the IEEE-USA. Primary responsibilities include:
• Seamless program and activity management, including creating and adhering to timelines, effectively communicating duties and milestones to stakeholders • Facilitating and nurturing relationships within their assigned committees and projects across volunteers, global supplier partners, and internal colleagues • Understanding of volunteer needs and objectives • Sound fiscal management of IEEE-USA program resources • Strategic planning input with concrete suggestions designed to achieve strategic goals of both IEEE-USA and volunteer leadership • Delivery of outstanding customer service • Partnering well with colleagues across IEEE and sharing information and collaborating and surfacing issues to management in a timely fashion
This role serves as a subject matter expert on all aspects of IEEE policy and procedures as they apply to Committee Program Management. This person advises on cost containment, best practices regarding all aspects of committee activities and programs.
This position functions as part of the Career and Member Services team and reports to the Director, Business Development, Career and Member Services, and will operate in a matrix management organization supporting IEEE-USA initiatives across the department. This position does not directly manage staff but will function as a seasoned individual contributor having significant experience and influence over others, leading staff to contribute toward the growth and success of IEEE-USA committee initiatives. S/He will be using the experience and knowledge to act independently on many projects and mentor and oftentimes supervise junior staff. The incumbent will also recommend and develop solutions with influence on procedures.
Key Responsibilities
Committee Programs and Volunteer Management (50%)
Develops and executes program strategy objectives in partnership with the volunteer organizing team and is accountable for creating partnership-level, high-touch relationships with current and future volunteers
Creates partnership-level, high touch relationships with current and future organizers as well assigned committee portfolio leadership
Creates and maintains portfolio activity timeline specifying key input, roles/responsibilities, review and approval dates necessary to successfully execute initiatives and activities
Assists with budget creation, management, and reconciliation of all revenues/expenses
Facilitates and drives meetings with volunteers and internal team members.
Understands and delivers strategic and tactical initiatives and advice to improve quality of services for optimal experience for Committees.
Actively participates and/or leads various committee meetings and translation of those discussions to feed IEEE-USA strategies across the teams
Support volunteer committees by developing strategies for encouraging their creation, growth, development, and evolution. Encourage cross-integration and collaboration among volunteer committees. Ensure that committees establish successful relationships with their portfolios and are self-sustaining, self-supporting, generate value, and have appropriate governance documentation.
Initiative Program Management (40%)
Leads overall strategies and priorities for assigned volunteers, programs and portfolio(s) and be the advisor for their needs to implement IEEE-USA strategic initiatives (present and future)
Conducts sourcing and contracting for all required venue, partnerships and suppliers, leveraging opportunities for sponorships or volume discounts and/or established IEEE partnership programs across IEEE programs
Monitors and manages adherence to contractual agreements
Develops a comprehensive understanding of both the strategic initiatives and political communities that drive decisions, direction and success
Understands and communicates IEEE-USA strategic and tactical initiatives to internal teams and volunteers to improve quality of services for optimal experience
Analyzes key trends and needs to determine service priority
Act as volunteer’s central repository maintaining historical and detailed intelligence on their activities in areas related to location/venues, spend, sponsorships, supplier partners, publications, etc.
Actively participates in various Committee meetings
Delivers training and documents processes
Special Projects/Initiatives as assigned (10%)
Provide departmental management support when the manager is out of the office, and provide support for various special projects/initiatives, as needed.
Assist in training and mentoring new and/or junior staff on IEEE policies and procedures.

Qualifications
Education
Bachelor's degree or equivalent experience - Bachelor’s degree in marketing, business, communications, or related field, or equivalent experience. Pref
Work Experience
2-4 years 3+ years of experience in sales, partnerships, business development, or event management. Pref
Proven success in selling intangibles/services, with strong relationship-building and negotiation skills. Pref
Ability to understand customer needs and translate them into actionable opportunities. Pref
Excellent communication skills, both written and verbal. Pref
Experience working with cross-functional teams; ability to be resourceful and hands-on when needed. Pref
Familiarity with CRMs (e.g., Salesforce, HubSpot) and basic event management platforms is a plus. Pref
Knowledge of engineering industries, associations, or technical audiences is beneficial. Pref
