Title: Accounts Payable Analyst - Contract

Reports To: Finance Supervisor

Location:  24 Napoleon Road, Barrie

Job Purpose: The Accounts Payable Analyst is responsible for overseeing the end to end accounts payable process, ensuring timely and accurate payment of vendor invoices, maintaining financial records, and supporting month end close activities. This role analyzes data, resolves discrepancies, and partners closely with vendors, procurement, and internal departments to uphold strong financial controls and efficient AP operations.

Key Responsibilities:

• Review, verify and process high volumes of vendor invoices submitted through AP automation tools (Dooap, workflow routing, electronic invoice capture).
• Match purchase orders, receiving documents, and invoices (3-way match).
• Monitor workflow queues to ensure timely processing and resolution of exceptions.
• Collaborate with Procurement and Receiving to resolve discrepancies
• Ensure all invoices follow established approval hierarchies and company policies.
• Execute automated payment runs (ACH, EFT, wires and cheques).
• Reconcile vendor statements and promptly resolve outstanding balances or issues.
• Respond to vendor inquiries and maintain positive working relationships.
• Maintain accurate AP aging reports and support cash flow forecasting.
• Maintain accurate and up-to-date banking information and process test payments accordingly.
• Maintain accurate vendor credit information and process new vendor applications in accordance with company policies and procedures.
• Review, reconcile, and maintain purchase order accruals to ensure accurate month end reporting, proper matching of goods received not invoiced.
• Utilize dashboard and analytics tools within the AP automation system to identify trends, bottlenecks, and efficiency opportunities.

Education & Experience:

• A post-secondary degree or diploma in Business Administration, Accounting or Finance
• Minimum two years of experience in Accounts Payable with other related accounting experience
• Must be proficient in Microsoft Office (Word, PowerPoint, Access, Outlook), Advanced user in MS Excel
• Experience working with ERP systems such Microsoft D365, QuickBooks and Evosus would be an asset
• Excellent organizational skills with strong attention to detail
• Excellent oral and written communications.
• Strong problem-solving ability, negotiation, and conflict resolution skills to handle late payments and delinquent accounts
