Friendship is looking for a Full Time Administrative Assistant to join our Friendship – Maintenance team, located on Hershberger Road.
Roles & Responsibilities:
• Support department responsibilities to include answering phones, data entry, scheduling, database, spreadsheet and expense report management
• Establish and maintain effective communication within the Maintenance department as well as with other departments, residents, families and any other members of the resident care team as appropriate
• Coordinate communications and facilitate the resolution of issues between maintenance and other departments throughout the facilities
• Provide excellent customer service to residents, families and other staff by greeting residents and ensuring all phone calls or written correspondence are answered timely and effectively
• Maintain compliance with all department, facility, state and federal guidelines, policies and procedures
• Maintain confidentiality of resident information
• Create and/or provide assistance with the creation of meeting presentations, reporting and paperwork processing
• Distribute departmental mail and other communications
Essential Functions:
• Schedule and organize activities such as meetings and training for the Director and staff
• Organize and prioritize daily/weekly tasks, calls and special projects
• Create and complete general correspondence, memos, charts, etc.; proofread policies, correspondence and paperwork as needed; coordinate presentations and mailings
• Ensures information is disseminated appropriately throughout the department/facility
• Answer telephone and email correspondence timely; ensure calls are routed correctly
Qualifications:
• Must possess moderate computer skills and be familiar with basic office equipment
• Must have strong spreadsheet/database software experience
• Must possess excellent phone/communication, organizational and interpersonal skills
• Must be able to read, write, speak and understand English
• While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; use hands to finger, handle or feel; and each with hands and arms. The employee may be required to lift or move objects weighing 20 pounds.
• High School Diploma or GED required
• Minimum of six-months administrative experience in a long-term or health care facility preferred
