The Travel & Expenses Project Manager will support clients in their Travel & Expense transformation, ensuring tasks are completed thoroughly and on time while maintaining visibility across multiple workstreams.
Responsibilities:
- Support the documentation and rollout of T&E processes as assigned, ensuring aspects are accurately documented, operationalized, and reflected in Navan configurations
- Create T&E program resources to reference throughout the T&E process, and for various T&E use cases
- Identify and surface potential updates needed to the clients travel policy and Navan setup; compile findings for Director review and act on approved changes
- Maintain a comprehensive, up-to-date tracker of all T&E transformation action items, ensuring each item reflects the correct owner, status, and due date
- Proactively follow up with assigned stakeholders to drive completion of open items, escalate blockers to the Director of Procurement, and maintain accountability across all workstreams
Requirements:
- Bachelor's degree in Business Administration, Finance, Supply Chain, or a related field (or equivalent experience)
- 3–6 years of experience in Travel & Expense operations, procurement, finance operations, or a project coordination/execution role
- Proven ability to execute on assigned tasks with a high degree of follow-through, accuracy, and accountability
- Experience with T&E or travel management platforms; Navan experience strongly preferred
- Strong analytical skills with the ability to work with expense data to surface insights and prepare clear summaries for leadership review; proficiency in Google Sheets or Microsoft Excel required
- Familiarity with AI and automation tools and a practical orientation toward applying them to operational workflows
- Strong communication and stakeholder coordination skills; comfortable working cross-functionally and keeping multiple parties on track
- Highly organized, detail-oriented, and able to manage multiple concurrent workstreams with minimal supervision
- Preferred Travel Partner Implementation
- Establish and onboard preferred travel partners (airlines, hotels, ground transport) as directed, coordinating with vendors and internal stakeholders to complete setup
- Ensure all approved preferred vendors are accurately configured in Navan, a travel management platform, and are visible to travelers at the point of booking; validate configurations and resolve discrepancies
- Run regular analyses on expense data in Navan to identify patterns, anomalies, and opportunities to refine auto-approval logic; present findings to the Director of Procurement for review
- Establish process for monthly T&E non-compliance reporting
- Build and maintain T&E reports and dashboards as directed, ensuring leaders have accurate, timely visibility into travel and expense actuals on an ongoing basis
- Support the establishment of recurring reporting cadences; ensure reports are produced consistently, formatted clearly, and distributed to the appropriate audiences
