Position Summary
The Working Maintenance Supervisor is responsible for the
overall leadership, coordination, and performance of the maintenance department
and the physical plant at the community. This position supervises maintenance
technicians and janitorial staff, directs daily maintenance operations,
oversees preventive maintenance programs, coordinates vendor services, and
ensures that the property is maintained in a safe, efficient, and professional
manner.
The Working Maintenance Supervisor establishes maintenance
priorities, assigns work, monitors completion of maintenance activities, and
ensures that building systems and equipment are properly maintained.
This position functions as a working supervisor, combining
departmental leadership with hands-on maintenance support when operationally
necessary. While the position may regularly assist staff with maintenance
tasks, the primary responsibility is directing, coordinating, and supervising
maintenance operations, personnel, and contractors for the community.
Essential Duties and Responsibilities
Department Leadership and Staff Supervision

Directly
supervises maintenance technicians and janitorial staff (typically 4–5
employees).

Plans, assigns,
prioritizes, and reviews daily work performed by maintenance and
janitorial staff.

Establishes
maintenance schedules and ensures timely completion of preventive
maintenance and work orders.

Trains,
mentors, and evaluates maintenance and janitorial personnel.
-
Conducts
performance reviews and provides coaching, guidance, and disciplinary
action when necessary.

Participates in
recruitment, hiring, and termination decisions for maintenance personnel
consistent with community budget and company policies.

Ensures staff
follow company policies, safety procedures, and operational standards.
Working Maintenance Supervisor

Oversees the
operation, maintenance, and repair of the building’s physical plant
including HVAC systems, electrical systems, plumbing, mechanical
equipment, structural components, lighting, and other building
infrastructure.

Develops,
implements, and monitors preventive maintenance programs for building
equipment and systems.

Monitors
maintenance work orders and preventive maintenance schedules using
property management or maintenance tracking software.

Ensures
maintenance requests are properly prioritized and completed in a timely
manner.

Maintains
appropriate inventory levels for maintenance tools, equipment, and
supplies.
Vendor and Contractor Coordination

Coordinates and
supervises outside contractors and service providers performing
maintenance, repair, and improvement projects.

Monitors
contractor performance to ensure compliance with scope of work, safety
standards, and community expectations.

Assists
management with evaluating vendor proposals and recommending service
providers.
Property Inspections and Facility Oversight

Conducts
routine inspections of building systems, mechanical equipment, common
areas, and property grounds.

Identifies
maintenance needs and recommends corrective actions or improvements.

Ensures the
property maintains a safe, secure, and clean environment for residents,
staff, and visitors.
Administrative and Management Support

Assists the
Community Association Manager in preparing maintenance-related reports.

Provides
documentation and updates regarding maintenance operations for management
reports and board meetings.

Attends board
meetings as needed to report on maintenance conditions, projects, and
operational needs.

Assists in
monitoring maintenance budgets and operational expenditures.
Emergency Response

Responds to
emergency maintenance situations including equipment failures, building
system issues, or safety concerns.

Coordinates
staff and contractors to address emergency maintenance needs.

Maintains
availability for on-call emergency response as required by the community.
Maintenance Participation
The Working Maintenance Supervisor actively participates in
maintenance activities alongside staff to support efficient building operations
and ensure proper oversight of maintenance work.
Hands-on work may include minor repairs or troubleshooting
involving:

The supervisor performs maintenance work when necessary to
support staff, address operational needs, or ensure timely completion of tasks
while continuing to direct and oversee the work of the maintenance department.
Experience / Knowledge / Abilities

High school
diploma or equivalent preferred.

Minimum 5 years
of building maintenance experience.

Prior
experience supervising maintenance or janitorial staff strongly preferred.

Strong working
knowledge of building maintenance systems including HVAC, plumbing,
electrical, mechanical, and structural systems.

Experience with
preventive maintenance programs and work order systems.
-
Ability to
supervise employees and coordinate contractor work.

Strong
organizational, problem-solving, and leadership skills.

Pool
maintenance certification preferred.

Fire / life
safety system experience (fire alarm systems, horn/strobe/pull box/fire
pumps) preferred.
