Apex Systems is a world-class IT services company that serves thousands of clients across the globe. They are seeking a Senior Project Manager to drive readiness and successful rollout of Self‑Serve Email capabilities supporting Relationship Marketing and RM Operations, ensuring smooth execution and adoption across teams.
Responsibilities:
- Run a disciplined operating rhythm (ROB) including agendas, notes, action tracking, decision logs, and workback plans
- Maintain a living RAID log and escalate risks, issues, and blockers early
- Provide clear, consistent status reporting and visibility for Microsoft FTE owners and cross‑functional partners
- Translate phased rollout plans into concrete readiness criteria, go‑live gates, and operational requirements
- Identify and track dependencies across tooling, operations, governance, and enablement workstreams
- Ensure launches proceed only when readiness criteria are met and risks are mitigated
- Support UAT planning, scheduling, execution, and issue tracking
- Partner with engineering, RM Ops, and business stakeholders to validate functionality and ensure smooth rollout
- Develop “what’s changing / who’s impacted / what stays the same” materials for marketers and operations teams
- Define in‑scope vs. out‑of‑scope scenarios to drive clarity and reduce confusion
- Partner with RM and RM Ops to ensure changes land with minimal disruption and high adoption
- Own documentation governance including accuracy, versioning, ownership, and single source of truth
- Maintain runbooks, FAQs, process guides, and readiness materials as capabilities evolve
- Ensure documentation reflects real‑world workflows and feedback from users
- Draft role‑specific communications such as release notes, announcements, and capability updates
- Coordinate training sessions, office hours, and reinforcement activities
- Establish feedback loops to inform future improvements and documentation updates
- Lead daily/weekly operating rhythms with RM, RM Ops, engineering, and cross‑functional partners
- Update RAID logs, workback plans, and readiness trackers
- Prepare rollout materials, communications, and documentation updates
- Support UAT execution and triage issues
- Drive change management and adoption activities for upcoming phases
- Ensure all readiness criteria are met before go‑live decisions
Requirements:
- Program & operating‑rhythm management (8–10 years): Proven ability to run a disciplined ROB—workback plans, RAID logs, dependency tracking, decision logs, and executive‑ready status artifacts
- Rollout readiness & change execution (8+ years): Experience translating phased capability plans into readiness criteria, in/out‑of‑scope guidance, and launch support materials
- Documentation & enablement delivery (8+ years): Strong capability in creating and governing runbooks, FAQs, process guides, and role‑based communications
- Bachelor's degree in Business Administration or related field required
- PMI/PMP certification preferred
- Senior marketing program manager with experience rolling out marketing platforms or capabilities (email tools, campaign systems, content workflows, MarTech enablement)
- Deep experience partnering with marketing operations and relationship marketing teams
- Strong change management background—able to translate new capabilities into clear, actionable guidance for marketers
- Skilled in documentation, enablement, and maintaining a single source of truth for evolving capabilities
