ProVest LLC is a technology company focused on building a next-generation case management platform for law firms specializing in collections. They are seeking a Collections Law Firm Business Analyst to bridge the gap between product and engineering teams and law firm clients, ensuring that client workflows and requirements are accurately captured and addressed.
Responsibilities:
- Partner with attorneys, paralegals, and operations staff to understand collections workflows, legal processes, and system needs
- Elicit, document, and maintain detailed business and functional requirements for technology applications and workflow management systems
- Translate legal and operational business needs into clear, actionable requirements for technical teams and vendors
- Map current-state and future-state collections workflows, identifying gaps, pain points, and improvement opportunities
- Define acceptance criteria and support user acceptance testing (UAT) planning and execution
- Maintain requirements traceability throughout the project and system lifecycle
- Support solution design reviews to ensure requirements are fully and accurately addressed
- Lead end-to-end technology and workflow improvement projects from initiation through delivery and post-launch stabilization
- Develop and maintain project plans, timelines, milestones, dependencies, and risk registers
- Coordinate cross-functional teams including IT, operations, legal staff, and external vendors
- Manage scope, risks, issues, and change requests throughout the project lifecycle
- Facilitate project meetings, status updates, and stakeholder communications
- Proactively identify obstacles and drive resolutions without waiting for direction — a true self-starter
- Apply deep working knowledge of consumer and/or commercial collections processes, including pre-legal, legal, and post-judgment phases, to inform product requirements and client engagements
- Engage directly with law firm clients that are currently using an existing collections case management platform, understanding their current workflows, data structures, and migration needs
- Support law firms that are new to case management technology, guiding them through requirements discovery, workflow design, and platform onboarding
- Translate law firm operational needs into clear product and configuration requirements for our internal engineering and product teams
- Apply knowledge of FDCPA, FCRA, and state-specific collections regulations to ensure platform requirements support client compliance obligations
- Serve as the internal subject matter expert on collections law firm operations, helping our product and engineering teams build solutions that reflect real-world legal workflows
- Serve as the primary point of contact for law firm clients during requirements gathering, onboarding, and implementation phases
- Build strong working relationships with law firm stakeholders including attorneys, paralegals, operations managers, and IT staff
- Collaborate with internal product and engineering teams to resolve system or workflow issues raised by clients
- Support client go-live planning, data migration coordination, cutover activities, and post-implementation stabilization
- Prepare clear documentation including process flows, configuration guides, and client-facing training materials
- Identify and communicate product improvement opportunities based on client feedback and observed workflow gaps
Requirements:
- Bachelor's degree in Business, Information Technology, Legal Studies, or a related field (or equivalent practical experience)
- Minimum 3+ years of experience in a business analyst, project coordinator, or operations role within a collections law firm or collections-focused legal services environment
- Demonstrated experience creating business requirements, process documentation, and functional specifications for technology or workflow systems
- Strong analytical and problem-solving skills with the ability to evaluate complex workflows and identify practical solutions
- Proven self-starter who can take initiative, manage competing priorities, and drive projects forward independently
- Excellent written and verbal communication skills, with the ability to present clearly to both legal and technical audiences
- Experience managing projects or technology implementations in a fast-paced, deadline-driven environment
- Experience with collections case management platforms (e.g., C2C Resources, Collect!, CUBS, or similar systems)
- Familiarity with legal workflow automation tools or document management systems
- Knowledge of FDCPA, FCRA, and state-level consumer or commercial collections regulations
- Experience working with third-party technology vendors or implementation partners
- Familiarity with Agile, Scrum, or hybrid project delivery methodologies
- PMP, CBAP, PMI-ACP, or similar certification is a plus
