Essential Functions:
The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.
Supervises, directs, and evaluates assigned staff; develops and oversees employee work schedules to ensure adequate coverage and control; compiles and reviews timesheets; approves/processes employee concerns and problems and counsels or disciplines as appropriate; assists with or completes employee performance appraisals; directs work; acts as a liaison between employees and management; and trains staff in operations, policies, and procedures.
Organizes, prioritizes, and assigns work; prioritizes and schedules work activities in order to meet objectives; Ensures that subordinates have the proper resources needed to complete the assigned work; monitors status of work in progress and inspects completed work; consults with assigned staff to assist with complex/problem situations and provide technical expertise; provides progress and activity reports to management; and assists with the revision of procedure manuals as appropriate.
Prepares and coordinates requests for documents and information from County employees for review; prepares daily run for document retrieval and document refile and ensures documents are returned to the proper location; researches more complex cases involving records maintenance, the database, and access; handles potentially difficult requests; maintains responsibility for all faxed and/or scanned requests; and attends training classes and/or webinars to become familiar with the latest records management technology.
Maintains document sharing and communication; and provides technical and administrative assistance to the manager and record room leads by producing documents and communication to be shared throughout the County departments; tracks the status of allocated tasks to ensure timely completion; and clarifies procedures and records/provides information as needed by County users.
Responsible for data entry in the Records Management Database and inventory reports; enters data and statistics in the system to maintain and update case files; assists with electronic records database maintenance; adds/removes users to/from the RCMS Information System; diagnoses and corrects user access problems; and manages records including on-and off-site storage with RCMS access.
Performs data management/purging; removes files and data from records inventory for disposal per the assigned retention schedule; identifies eligible files, removes from storage and schedules destruction; receives transfer forms from departments and verif
Maintains responsibility for file distribution; ensures files are properly and securely packaged; secures contents in mailing envelopes, protective folders, etc.; processes paperwork and distributes to the appropriate offices/personnel via County provided vehicles; receives required signatures; files receipt and processes; and refiles any returned records.
Minimum Qualifications:
High school diploma or GED required; one year experience in warehouse operations, records management or document retrieval; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
Specific License Certifications: Must possess and maintain a valid Georgia driver’s license.
