Project Operations and Partner Engagement Manager

Indiana Data Works is hiring a Project Operations and Partner Engagement Manager to coordinate project schedules, communications, documentation, training records, and deliverables for participating healthcare organizations. The role supports partner engagement, tracks project progress and follow-through, and prepares evidence and status updates for reporting and closeout.

Responsibilities:

• Maintain master work plan, meeting schedule, partner contact list, and milestone tracker to keep approved project activities on schedule
• Coordinate communications with participating healthcare organizations, arrange assessment visits and training sessions, and follow up on agreed action items
• Track partner participation agreements, designated site contacts, county coverage, required project documentation, and outstanding requests
• Document meeting discussions, decisions, project risks, responsible action owners, and due dates; monitor follow-through and escalate delays
• Maintain a project training register, collect participation and completion evidence, and remind designated contacts about missing or expiring training records
• Support accessible partner engagement by helping arrange language assistance and accessible meeting materials through Indiana Data Works-approved processes
• Assemble project-delivery evidence, status updates, and activity records for program reports and closeout; refer financial and reimbursement documentation to Finance and Compliance Support
• Prepare accurate progress summaries that identify overdue actions, missing records, participation gaps, milestone status, and support needed from partner organizations
• Coordinate deliverables and timelines with the Project Director, the Implementation and Adoption Lead, and other designated technical project personnel
• Maintain organized project files and handle confidential partner information using approved systems and applicable access requirements
• Work primarily remotely. Follow contract Section E.6 location restrictions when any assigned work involves state-data access or system administration

Requirements:

• Bachelor's degree in Business or equivalent professional experience in project coordination, healthcare administration, partner engagement, or a related field
• Experience maintaining project schedules, action logs, milestone trackers, and organized supporting records for multiple stakeholders
• Demonstrated ability to coordinate meetings, manage follow-up, and communicate effectively with organizational leaders, staff, and community partners
• Strong written communication, attention to detail, prioritization, time management, and independent problem-solving skills
• Proficiency in Microsoft Word, Excel, Outlook, and virtual meeting and shared-document collaboration platforms
• Ability to handle confidential information, follow approved project processes, and distinguish assigned program-delivery activities from administrative tasks
• Experience supporting rural healthcare organizations, public health, community health systems, or multi-site health improvement projects
• Experience coordinating onboarding, assessments, training, partner communications, and other implementation activities
• Knowledge of project management and quality improvement methods, including milestone tracking and issue escalation
• Experience supporting program documentation, progress reports, and organized evidence files for grant- or contract-funded projects
• Familiarity with accessible communications, language-assistance coordination, and confidentiality requirements in healthcare settings
