Role Overview
Screens civil cases for compliance with civil and local rules and administrative orders to assure completeness and readiness for hearing.
Provides assistance with case management of judicial caseloads, maintains a database for open cases needing attention, and enters documents in the automated case management system.
Reviews court files where issues arise and prepares files for final hearing.
Schedules hearings, prepares notices of hearings and maintains court calendars; attends and monitors court hearings as needed.
Monitors case processing reports to ensure case events comply with statutory/local practice timelines.
Evaluates the status of case related matters, performs required actions to move the case forward and consults with the Judge to facilitate case progression.
Provides case status information to the court either at hearings or through periodic reports.
Performs clerical tasks such as preparing orders, documents and forms or creating and maintaining records systems for efficient case management.
Prepares technical and statistical review of evaluation reports.
Attends, participates, and contributes in committee and management meetings.
Performs related administrative functions and other duties as needed.
Requirements
Bachelor’s degree from an accredited four-year college or university with course work in business, court or public administration, criminal justice, psychology, sociology, pre-law or related fields required.
Three (3) years of related professional experience.
Experience in the court of assignment preferred.
Master’s degree may substitute for one year of required experience.
Juris Doctor degree may substitute for two-years of required experience.
Paralegal Certificate preferred.
Knowledge of legal terminology and legal format.
Thorough knowledge of legal secretarial practices and procedures.
Ability to communicate and express ideas clearly and concisely, orally and in writing.
Ability to prepare monthly and quarterly reports.
Ability to organize work, establish priorities, and meet deadlines.
Ability to establish and maintain effective working relationships with the judiciary, supervisors, peers, and subordinates.
Knowledge of court policy and procedures.
Knowledge of case management techniques.
Ability to maintain accurate case documentation.
Ability to make routine decisions in accordance with established policies and procedures.
Ability to operate a personal computer and laptop.
Ability to use Microsoft Office Suite programs, such as Word, Outlook, Excel, Teams, as well as court information systems.
Ability to use Zoom and other remote communication platforms as needed.
Ability to use independent judgment and discretion concerning confidential information.
Ability to analyze data and case information.
Ability to identify problems and make recommendations for improvements.
Ability to establish work priorities and meet deadlines.
