Arrange travel and accommodations; prepare monthly expense reports
Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff
Manage the Executive's contact database
Communicate clearly and concisely, both verbally and in writing; use sound judgment and organizational skills to appropriately triage and/or act on matters on behalf of the CFO
Continuously organize complex calendars and schedules, resolving all scheduling issues as they arise
Manage sensitive matters and financial information with a high level of confidentiality and discretion, especially material, non-public financial information
Conserve the Executive's time by reading, researching, collecting, and analysing information as needed, in advance
Willingness to enthusiastically complete both high-level and low-level tasks and ad hoc special assignments
Positively represent the CFO and the company through exceptional interpersonal skills, a keen eye for detail, consistent follow-through, and a desire to continuously improve themselves and their work
Assist with quarterly supplemental disclosure certification process
Research and coordinate logistics for Board/investor-related events and roadshows, including dinner reservations, hotel options, and travel/transportation arrangements
Maintain accurate meeting logs, including roadshows and conferences, to track and report ownership trends, meeting history, and investor interactions
Review solar and EV charging lease agreements and translate key terms, conditions, and requirements into standardized fields, templates, and workflows in Salesforce
Leverage AI tools to enhance efficiency and support executive-level priorities
Requirements
A BA/BS undergraduate degree
Minimum three to five years’ experience in administrative support at the Executive level
Advanced level in MS Outlook, Word, Excel, PowerPoint, and Adobe Acrobat
Ability to handle confidential information
Superior time management and prioritizing skills with the ability to focus on multiple tasks simultaneously
Strong attention to detail and organization
Must possess good analytical skills and problem-solving abilities, translating these skills into good judgment and decision making on behalf of the CFO
Must be able to assume initiative and work independently with minimal direction
Proven ability to interact with multiple levels of the organization successfully and coordinate activities and efforts within a “collaborative” environment
Excellent verbal & written communication skills (both internal & external customers)
Ability to meet assigned project(s) deadlines
Exhibits a “results oriented” approach to tasks, assignments, and responsibilities
Ability to work required hours and additional time as necessary to meet reporting requirements
