About this role
Role Overview
Oversee incoming and outgoing submittals, responses, correspondence, and documentation.
Ensure documents are properly received, reviewed, categorized, tracked, archived, and accessible per agency policies.
Monitor team performance, workloads, and deliverables across multiple concurrent projects.
Develop, implement, and improve document control processes, standards, and workflows.
Coordinate with internal and external stakeholders to meet document control requirements and project priorities.
Proactively identify, resolve, and communicate issues, risks, and progress to management and project stakeholders.
Perform quality assurance, quality control, and audits to maintain document repository standards.
Ensure compliance with document control, records management, and retention policies.
Mentor team members and promote continuous improvement, efficiency, and customer service excellence.
SOX control responsibilities may be part of this role, which are to be adhered to where applicable.
Requirements
Bachelor’s degree in Engineering, Architecture, Construction Management, or a related field.
Minimum five (10) years of experience as a Document Control Manager.
At least three (5) years of prior experience as a Document Controller within engineering and/or construction environments.
Proven experience managing document control for large-scale infrastructure projects, preferably in transportation.
Excellent verbal, written, interpersonal, and organizational communication skills.
Strong analytical and problem-solving abilities, with experience in issue resolution, reporting, and prioritization.
Demonstrated leadership skills, including team management, mentoring, and cross-functional collaboration.
Ability to manage multiple projects simultaneously in a fast-paced environment with a high volume of submissions.
Requires a detailed knowledge of industry standards and methods.
