About this role
Role Overview
Create RFI invoices and update Excel trackers with Sales Order replacement invoice numbers.
Download, organize, and send invoice PDFs and backup documentation to internal invoicing teams and customers.
Perform quality control checks for pole and data entries by comparing information across systems.
Conduct Sales Order QC and PO Matrix validation to identify discrepancies or missing documentation.
Load daily customer attainment reports into Smartsheet and update operational dashboards as needed.
Troubleshoot issues and inconsistencies across reporting in Smartsheet, Excel, and customer platforms.
Send daily Operations Attainment Reports, including exporting, formatting, and uploading into Excel and Smartsheet.
Run reports from Smartsheet and coordinate locate ticket renewals with internal teams.
Track tickets per project in a weekly Excel log and submit to customers.
Assist with organizing, entering, and maintaining project data across internal and customer systems.
Provide flexible support to project managers and operations staff for evolving administrative needs.
Participate in process improvements to optimize data handling and document workflows.
Support meeting coordination, internal reporting needs, and other assigned tasks as directed by project leadership.
Requirements
High school diploma or equivalent required; coursework in business, data entry, or related fields is a plus.
Experience with Microsoft Excel, and other Office tools (Outlook, Word, etc.).
Familiarity with customer-facing platforms such as Taulia or similar invoicing/ticketing systems is preferred.
Strong attention to detail with proven ability to manage data entry and quality control across multiple systems.
Capable of balancing daily recurring tasks with shifting project-specific priorities.
Effective written and verbal communication skills; able to work independently or within a team.
Self-starter who is organized, adaptable, and willing to learn new systems and processes.
