Provide comprehensive administrative support to the Chief Executive and executive team, including calendar management, meeting scheduling, and appointment coordination.
Proactively manage the Chief Executive's diary to optimize time allocation in line with business priorities.
Organize travel arrangements (local and international), including flights, visas, accommodations, and ground transportation.
Function organizing and management, such as strategic sessions and various team events, including venue hire and all logistical aspects and catering associated with such events.
Serve as the primary liaison between the executive team and external business partners, ensuring seamless communication.
Oversee fleet management and facilities, including maintenance coordination and service scheduling.
Manage the procurement and distribution of promotional items to support business initiatives.
Coordinate internal and external meetings, events, and conferences, handling logistics, invitations, and correspondence.
Foster collaborative relationships with internal and external stakeholders through effective and open communication.
Perform general administrative tasks, including office management and answering calls in a professional manner.
Manage and prioritize ad hoc queries and correspondence, escalating issues when necessary and ensuring timely resolution.
Uphold a professional image at all times, reflecting the company's values and brand.
Demonstrate sound judgment in prioritizing tasks and resolving issues to maintain operational efficiency.
Requirements
Minimum of 22 points in Grade 11 (new curriculum) or 12 (old curriculum).
Bachelor’s degree in business administration, Office Administration, or related field.
Minimum of 3 years' proven experience as an Administrative Assistant, Executive Assistant, or similar role.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
Ability to handle sensitive information with discretion and confidentiality.
Foreign qualifications must be submitted with an evaluation report from the Namibia Qualification Authority (NQA).
