Handle routine correspondence and inquiries with precision
Communicate with Executives, managers and others across all levels of the organization while maintaining professionalism, tact and diplomacy in all interactions
Utilize business software applications (e.g., Word, PowerPoint, Excel, etc.) to prepare and format correspondence, reports, presentations, agendas, and minutes
Oversee and manage calendars, scheduling and coordinating meetings across multiple calendars and time zones
Arrange all aspects of business travel including flights, hotels, transportation, visas, and permits
Plan and coordinate logistics for meetings and events, including agenda preparation, food and beverage arrangements, and on-site management
Lead and support strategic initiatives by coordinating with various departments to ensure projects are executed on time and within scope
Liaise with the legal department to review and manage contracts, non-disclosure agreements (NDAs), and other legal documents as needed
Collaborate with the finance team to monitor budgets, track expenses, and manage financial reporting
Partner with HR on recruiting, onboarding, and maintaining employee records to support organizational growth and compliance.
Requirements
5+ years of proven experience as an Executive Assistant
Experience within the cybersecurity industry a plus
University degree or advanced degree preferred
Exceptional organizational skills with the ability to manage multiple priorities simultaneously
Discretion and confidentiality in handling sensitive information
Superior problem-solving skills and the ability to work independently
Strong written and verbal communication in English, with attention to detail
Proficiency in Microsoft 365: PowerPoint, Excel, Word, OneNote, Teams and Cloud-based document management (e.g., Google Workspace, Microsoft OneDrive)
Familiarity with the following systems will be considered as advantage: Workday, Alchemer (ex-SurveyGizmo), Surveysparrow, SAP Concur, Camtasia, Atlassian products: JIRA, Confluence, Tableau.
