About this role
Role Overview
Manage the CEO’s commercial calendar and external meeting logistics
Coordinate external meetings with partners and clients
Draft professional follow-up emails and structured meeting recaps
Track commercial pipeline status, next steps, deadlines, ownership, and ensure execution of agreed actions
Maintain CRM accuracy and tracking across both entities
Monitor draft commercial agreements prior to legal finalization
Coordinate internally to collect required materials for commercial proposals
Prepare concise pre-meeting briefing notes for the CEO
Prepare structured commercial reports for the CEO, including clear snapshots of active deals, next actions and execution status
Maintain and update standard commercial templates (decks, one-pagers, proposal structures) in coordination with Marketing, Finance, and Legal
Use Microsoft Office or other tools to produce clear reporting dashboards and executive summaries
Coordinate and track external business development partners (including regional representatives)
Support planning and scheduling of major industry events and trade shows
Monitor relevant industry news and partner activities, providing structured updates
Support prioritization of active commercial initiatives, helping structure what requires immediate CEO involvement versus delegated execution
Prepare regular pipeline and forecast summaries for the CEO, highlighting risks and opportunities
Proactively chase internal and external stakeholders to ensure momentum on active deals
Coordinate with Finance to ensure that draft agreements respect approved pricing models, margin targets, and payment terms
Coordinate with Legal to ensure that commercial terms agreed in principle are correctly reflected before CEO signature
Requirements
4-7 years of experience in Commercial Operations, Business Operations, or Sales Operations
Experience supporting senior commercial or executive stakeholders
Understanding of commercial contracts (NDAs, MoUs, licensing and service agreements) and typical deal structures
Strong written and spoken English
Advanced proficiency in Microsoft Office (especially Excel and PowerPoint)
Ability to build structured reports and executive-level summaries
Excellent organizational and prioritization skills
Comfortable interacting with C-level executives
Experience with data visualization and dashboard creation
High attention to detail and strong sense of accountability
Structured, disciplined and proactive
