About this role
Role Overview
Administrative and organizational tasks
Organization and coordination of appointments, meetings, presentations and conferences
Preparation and follow-up of meetings, including room set-up, technical equipment and documentation
Handling incoming and outgoing mail at the division level
Central point of contact for employees, managers and external service providers
Interface role with internal departments (e.g. IT, administration, executive management) on organizational matters
Project, process and organizational support
Supporting the division management with projects, process optimizations and organizational initiatives
Assisting in the maintenance and updating of organizational charts, process and procedural documentation
Tracking actions, deadlines and tasks arising from meetings
Supportive coordination of leave and absence overviews
Organizing and preparing business trips for selected managers, and follow-up
Administrative support on personnel-related matters within the division
Requirements
Completed commercial vocational training or equivalent
Initial professional experience in an assistant, staff or coordination role
Excellent organizational skills; structured and independent working style
Confident user of MS Office (Outlook, Excel, PowerPoint)
Discretion, reliability and strong communication skills
