Answer and manage the company’s main office phone line (Vonage), including directing and transferring calls appropriately
Maintain and manage company software platforms and user access
Oversee IT coordination, including onboarding setup, troubleshooting support, and vendor communication
Maintain and organize corporate document management systems
Manage and maintain the company’s annual calendar (events, key dates, holidays, deadlines)
Ensure office systems and processes run efficiently
Coordinate and support employee onboarding processes (documentation, system access, welcome coordination)
Manage and distribute staff updates and internal communications
Assist with general HR administrative tasks and documentation
Support planning and coordination of staff meetings
Maintain employee records and compliance documentation
Organize employee celebrations, milestones, and company events
Support internal culture initiatives and team engagement efforts
Requirements
2+ years of experience in office administration, operations, or administrative support
Strong organizational and multitasking skills
Excellent written and verbal communication skills (English)
Experience managing company software systems and administrative platforms
Comfortable handling confidential information with discretion
Proficient with Microsoft Office and/or Google Workspace
Experience with VoIP systems (Vonage preferred) is a plus
Basic knowledge of HR processes is preferred
