Purchasing Assistant, Product

Role Overview

• Supplier communication: sending manuals and guidelines via e-mail, phone and WhatsApp, ensuring questions are answered and processes are aligned.
• Order management: registering products in the system; issuing, receiving and tracking orders using the system code; extracting, sending and confirming order receipts with suppliers.
• Label generation: creating, validating and sending label files to identify products in stores.
• Sample management: requesting samples for Quality Control; following up, approving and sending reminders via the Supplier Portal; organizing the showroom and providing daily updates on approved/rejected samples; issuing identification sheets via Excel.
• Scheduling and deliveries: following up on schedules and controlling deliveries; continuous follow-up to ensure deadlines are met; contacting Distribution Centers to arrange adjustments and cancellations when necessary.
• Order/product corrections: liaising with suppliers and Distribution Centers to make adjustments and resolve discrepancies.
• Internal support: assisting the Style team in preparing samples for photos and catalogs; supporting the Product Manager with draft issuance and portfolio organization.
• Document organization: maintaining physical folders, managing drafts, disposing of outdated materials and supporting audits.
• Patterning and catalogs: sending technical information to suppliers and completing mega-line and catalog data sheets.
• Donation control: organizing samples intended for donation using spreadsheets.
• Store support: providing assistance and answering questions to facilitate the sales process.

Requirements

• High school diploma. Currently pursuing a bachelor's degree or technical course in Fashion, Business Administration or Finance is preferred.
• Retail experience preferred.
• Basic Microsoft Office skills.
