Proactively support our rapidly growing and active leadership team concerning all organizational and administrative tasks
Collaborate on multiple projects, and demonstrate energy for juggling multiple activities at once
Establish yourself as primary contact person for employees of the Madrid office and field teams
Plan and organize appointments, meetings, conferences, travel, events, etc. in the office and externally
Organize external events with costumers (e.g., expert meetings, educational encounters, sponsorships), as well as internal events (e.g., sales meetings), collaborating with Medical Affairs, Market Access, Commercial, Marketing, etc. Establish, maintain, and optimize office workflows and processes
Support on Day-2-Day of Leadership Teams´ expenses, submitting/tracking POs, Invoices, travel logistics, etc.
Interface with HR, Finance, IT, and compliance departments
Help make the office a welcoming atmosphere: employees on-boarding, internal communication, maintaining office supplies and organizing team meals, all to create a vibrant working atmosphere
Requirements
3+ years of experience within office management
Strong communication and organizational skills
High level of Spanish and English language skills in speaking and writing
Excellent user knowledge of common Windows Office applications, especially Outlook and PowerPoint
High level of curiosity and a passion for learning new skills and areas
