Support the contract process, ensuring documents are correctly created, routed, approved, signed, and stored in the Contract Management System.
Manage LT expense processes, supporting Concur or outside system submissions, organizing receipts, resolving missing or blocked items, handling corporate card setup and issues.
Coordinate end‑to‑end travel arrangements for LT, including booking flights and hotels, managing visas and authorisations.
Manage LT calendar and scheduling logistics, including organizing meetings and rooms, coordinating travel and time‑zone considerations.
Coordinate meetings, onsites, offsites and with external partners end‑to‑end, managing logistics, materials, documentation, venues, catering, travel, guest arrangements.
Ensure the budget side is aligned with guidelines, resolving missing or blocked items.
Support clear, well‑structured LT documentation and folders.
Requirements
5+ years of experience in executive support, Medical, R&D operations or finance administration.
Strong organisational and multitasking skills with high attention to detail.
Experience with systems such as Link Squares, Coupa, Concur, Business Central, Amex GBT, SharePoint, Teams PowerPoint, Word and Excel (advanced), and use of AI tools.
Ability to work with other systems and learn how to use new systems.
Ability to coordinate with multiple stakeholders across regions and functions.
Fluency in English; excellent communication skills additional language is a plus.
