Supports the Procurement team in an administrative role.
Assists with preparation and distribution of appropriate purchase contract documents (e.g., Major Purchase Orders (MPO), rental / lease agreements, Independent Contractor Agreements (ICA) and service contracts) on behalf of the department.
Proactively expedites and follows up on all aspects of the contract process with internal and external customers and tracks contract discrepancies, documentation and certificates, outstanding or overdue contracts.
Develops and maintains a well-organized electronic filing system.
Creates and maintains templates for forms, letters, tracking spreadsheets, etc.
Develops and maintains customer-focused working relationships with suppliers, internal and external customers, and projects.
Identifies, evaluates, and escalates potential risks that could affect project deliverables.
Assists with general administrative duties as required.
Requirements
Minimum of 1 year’ experience in an administrative capacity; experience in the construction industry is considered an asset.
Post-secondary degree or diploma or certificate in office administration program is considered an asset.
Ability to work cooperatively in a team environment.
High attention to detail is a must.
Ability to work under pressure and meet deadlines.
Ability to carry out several tasks simultaneously.
Adaptable and able to work effectively in a fast-paced and rapidly changing business environment.
Basic understanding of supply chain and contract management is considered an asset.
Excellent interpersonal, written, and verbal communication skills.
Intermediate experience using Microsoft Office Suite.
Self-management skills to plan, organize, and prioritize tasks with conflicting deadlines.
