Executive Assistant – EdTech

Role Overview

• Your mission is to remove the CEO from everything that shouldn’t require his presence, while building systems that work without him
• Own the founder’s operating system: inbox, calendar, priorities, and follow-through
• Manage personal admin: banking, leases, visas, real estate, payments
• Coordinate travel and podcast logistics
• Investing & Real estate management
• Negotiate with: banks, vendors, service providers
• Benchmark pricing, terms, timelines, and market standards
• Supports the complete follow-up of projects (contracts and negotiation of suppliers, administrative management of personnel, accounting management, reporting ...)
• Pre-screening for recruitment
• Find the best providers whether lawyers, designers, movers
• Proofreading contracts and coordinating projects with lawyers, suppliers
• Build scalable operating systems (processes, tools, AI, knowledge base)
• Ensure invoices, contracts, and documentation are consistently tracked and resolved
• Continuous cost and tool audits
• Manage the onboarding of employees in Dubai (Signature of contracts, administrative ...).

Requirements

• 3+ years of experience, supporting C-Suite or a demanding founder
• A strong sense of service: you love to make life easier for others and you have a sense of service
• You do whatever it takes to make things happen
• Drive & Problem Solver: You work hard because you love it, you own things and get them done
• You love to execute
• Don’t miss deadlines
• Thrive in Chaos, you anticipate needs, and you don’t have to always be told what to do, must be flexible and able to quickly react to last-minute changes
• AI & Digital savvy (We are quite obsessed with Notion, Airtable, and new digital tools)
• Execution-focused and able to produce results with little direction
• High level of attention to detail

• Analytical Mind: you challenge your assumptions, able to quickly identify and formulate problems, and support your analysis with data
