Role Overview
Provide administrative and coordination support to the NISSC 3 Program , with a primary focus on program management activities, documentation, and meeting coordination.
Coordinate and schedule meetings for program leadership and cross functional teams.
Prepare draft agendas and supporting materials for meetings, reviews, and working sessions.
Record, finalize, and distribute meeting minutes in a timely manner.
Track action items through completion, maintaining logs and status.
Maintain program records, reports, and documentation in accordance with program and customer requirements.
Monitor program deliverables and assist with data collection, data management, and production of status reports.
Prepare, format, and manage program correspondence, including memos, reports, presentations, and tracking documentation.
Archive documentation and artifacts in a timely and organized manner within designated repositories.
Verify the integrity and accuracy of data and documentation to meet compliance and audit requirements.
Support logistics coordination for meetings, reviews, and other program events, including room scheduling, teleconferencing, and visit coordination as required.
Work in close coordination with the EDLM UDLM manager to support Emergency and Urgent Depot Level Maintenance related administrative and reporting activities.
Assist program leadership in maintaining calendars, milestones, and tracking tools to ensure timely execution of program tasks.
Requirements
In depth knowledge of administrative processes in a professional office or program environment.
Proficiency with standard office and collaboration software tools used for:
Data management and tracking
Document preparation and configuration
Meeting coordination, scheduling, and conferencing
Demonstrated ability to manage and organize detailed records and reports with strong attention to accuracy and compliance standards.
Strong written and verbal communication skills, including the ability to:
Prepare agendas, meeting minutes, and formal correspondence
Communicate clearly with program staff, leadership, and stakeholders
Experience with project or task tracking, status reporting, and basic logistics coordination
Preferred: BA BS degree in a related field
Alternative: High School Diploma plus 6 additional years of relevant experience in lieu of degree
Minimum Clearance to Start: Secret
