Provide project coordination support for the Indianapolis and Ohio markets
Draft and edit all relevant project information, process for party signatures, and enter all contracts, addendums, and change orders into PeopleSoft and Forecast Manager
Review and enter invoices into PeopleSoft
Review and maintain contractor insurance files and solicit updates as required before payment
Ensure costs are coded correctly and are in-line with the corresponding contract
Maintain the project filing directory on Box and DRS
Act as primary point of contact for projects on accounting processes and procedures
Prepare monthly expense reports and assist with travel arrangements
Conduct site visits or inspections as needed and report updates to the OCMs
Participate in project meetings, take detailed notes, and distribute minutes to relevant stakeholders
Requirements
Excellent communication and interpersonal skills
Strong organizational and time management skills
Good mathematical and analytical skills
Proficient knowledge of Microsoft Office Suite (e.g., Word, Excel, PowerPoint, Outlook) and Smartsheet.
Requires a High School Diploma or General Education Degree (GED)
Preferred: 3+ years of experience in project coordination or administrative support; construction project coordination is preferred.
Valid driver’s license and the ability to travel to multiple properties.
Knowledge of CRM systems such as Yardi, Salesforce.
Familiarity with real estate processes and documentation, such as purchase agreements, leases, and property management responsibilities.
