Preparing and sending Letters of Representation (LORs) to insurance companies and medical providers, ensuring timely notification of attorney-client representation
Requesting, tracking, and obtaining hospital bills and medical records from healthcare facilities to support case evaluation and settlement preparation
Completing and submitting Medi-Cal lien forms to notify the Department of Health Care Services (DHCS) of active personal injury cases and confirm reimbursement amounts upon settlement
Following up with federal entities and third-party subrogation vendors (such as Medi-Cal, Medicare, Rawlings, Optum, or Equian) to verify and resolve lien balances efficiently
Conducting insurance company searches to identify relevant coverage for individuals or businesses involved in claims, including liability and auto policies
Managing task follow-ups and deadlines to ensure all requests, forms, and verifications are completed accurately and on time
Requirements
3+ years of experience as a Legal Assistant, Legal Secretary, or Case Coordinator — ideally in personal injury or insurance-related law
Strong written and verbal communication skills with proven ability to handle sensitive information professionally
Excellent organizational and time-management abilities, capable of tracking multiple cases, requests, and follow-ups simultaneously
Proficiency in legal or case management tools (e.g., MyCase, Clio, Filevine), along with Microsoft Office and Google Workspace
Self-motivated, detail-oriented, and dependable — able to work independently, prioritize tasks, and meet deadlines in a remote setting
Full professional fluency in English and a calm, professional demeanor under pressure
