Become a trusted assistant to VP-level executives and provide executive support including, but not limited to, the following:
Have advanced skills in Outlook Calendar and Travel as well as handle confidential matters with discretion and confidence in decision-making.
Manages calendar and high volume of meeting requests.
Arranges complex domestic and international travel plans and create detailed itineraries.
Manages event planning and logistics for several conferences throughout the year.
Submits expense reports on behalf of the executive in a timely manner through SAP/Concur.
Serves as a delegate in multiple approval systems.
Managing Distribution Lists.
Works as a partner with the Corporate executive team, anticipating needs and gaps.
Ariba Requisitions/Purchase Order requests.
Setting up Zoom Webinars, running a meeting, advancing slides, inviting the right speakers.
PowerPoint presentation creation, assisting in presentation material, and update organizational charts (PPT).
Composes and prepares correspondence that may be confidential.
Maintains discretion and confidentiality in all matters in the workplace.
Prioritizes conflicting needs; handles work expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
Works closely and effectively with the leaders, keeping them well informed of upcoming commitments and responsibilities, following up appropriately.
Continually identifies opportunities to streamline functional activities while enabling the VP to focus on strategic and business initiatives rather than function logistics.
Exercise strong judgment in a variety of situations and maintain balance among multiple shifting priorities.
Minimum 3 years of experience supporting VP-Level Executives, preferably within a global company.
Highly Proficient in the Microsoft Office suite of products.
Proficient with PowerPoint and DocuSign.
Expert-level written and verbal communication skills.
Relationship Builder, especially cross-functionally and with Executive Assistants.
Demonstrated a proactive approach to problem-solving with strong and independent decision-making capability.
Excellent analytical, time-management, and project-management skills.
Detail oriented.
