Proactively manage and optimise the CEO's inbox, scheduling meetings, appointments, and travel arrangements, anticipating potential conflicts and ensuring efficient time utilisation.
Arrange comprehensive national and international travel itineraries, including flights, accommodation, ground transportation, and visa requirements, ensuring all details are meticulously planned.
Act as a primary point of contact, screening and prioritising incoming communications (emails, calls), drafting correspondence, and ensuring timely and professional responses.
Prepare meeting agendas, presentations, and relevant documents. Attend meetings to take detailed minutes, track action items, and ensure timely follow-up.
Accurately process and reconcile the CEO's expenses.
Organise and maintain highly confidential files, documents, and information, both digital and physical, with utmost discretion and security.
Conduct research on various topics as required, compile data, and prepare reports or summaries.
Assist with the planning and execution of company events, internal meetings, and other ad-hoc projects as needed.
Support the Workplace Manager and CEO with general management of the Cape Town office; liaising with building management, setting up for internal/external meetings and topping up snacks/drinks.
Undertake special projects and initiatives as assigned by the CEO, demonstrating flexibility and adaptability.
Requirements
Previous experience as an Executive Assistant, Personal Assistant, Chief of Staff support, or similar administrative role supporting senior leaders
Experience supporting C-suite executives, founders, or senior leadership teams
Proven ability to proactively manage competing priorities and maximise executive effectiveness
Exceptional organisational skills and attention to detail
Strong time management skills with the ability to work across multiple priorities simultaneously
Excellent written and verbal communication skills
Strong problem-solving ability and a proactive approach to identifying solutions
Comfortable working independently and exercising sound judgement
Strong technology skills, including Google Workspace and modern workplace productivity tools
Experience creating presentations, documentation, reports, and business materials
Experience managing expenses, budgets, invoices, or other financial administration
High levels of discretion, professionalism, and confidentiality
