Review and reconcile case records, contacts, intake forms, and activities in CiviCRM
Create, update, and maintain case records in accordance with ARC's documentation and case management procedures
Process and organize webform submissions, intake forms, and incoming requests
Identify duplicate records, data inconsistencies, and documentation gaps, and support ongoing data quality improvement efforts
Ensure demographic, geographic, and case-related information is accurately entered, coded, and maintained
Support case tracking, workflow management, and reporting processes within CiviCRM
Prepare data summaries, inventories, and workflow tracking reports to support program management and decision-making
Flag records that may require staff review, additional documentation, follow-up, quality review, and document issues for ARC staff as appropriate
Collaborate with ARC staff and consultants to support effective case management and information sharing
Maintain strict confidentiality, data protection, and information security standards when handling sensitive information
Additional tasks assigned as needed
Requirements
1 to 3 years of experience working with CiviCRM or another CRM, database, case management, or client management system
Strong preference with prior experience using CiviCRM in nonprofit, humanitarian, human rights, arts, refugee, migration, or social service settings
Demonstrated experience managing and cleaning large datasets, identifying duplicates, reconciling records across multiple sources, and maintaining CRM data integrity
Exceptional attention to detail and demonstrated ability to process, review, reconcile, and document large volumes of information accurately and efficiently while maintaining high data quality standards
Experience supporting case management, client management, humanitarian, human rights, refugee, legal aid, social services, or related programs
Strong understanding of workflow documentation, intake processes, eligibility tracking, referrals, and case progression within a CRM environment
Ability to independently audit records, identify discrepancies, and implement corrective actions with minimal supervision
Demonstrated ability to handle confidential and sensitive information with discretion
Experience producing operational dashboards, backlog inventories, and workflow tracking reports
Strong organizational and analytical skills with the ability to prioritize tasks and meet tight deadlines
Fluency in English required; French language is an asset.
