Role Overview
Legal support for the company's in-house counsel (Syndikusrechtsanwalt)
Support in general handling of legal matters in the real estate sector
Preparation of briefs, legal opinions and expert reports
Legal research (tenancy law, construction law, condominium/WEG law, land register/land registry law)
Preliminary review of claims, warning letters and defect notices
Digital and written correspondence
Review and processing of incoming beA messages (beA = German electronic attorney mailbox)
Sending beA documents in the context of court-related and out-of-court correspondence
Drafting, signing and postal dispatch of documents of all kinds
File and document management
Maintenance, structuring and updating of digital files on SharePoint
Deadlines and appointment management
Maintaining, monitoring and updating the deadlines register
Preparation and organization of the weekly deadlines meeting
Deadline management and maintenance of digital contract databases
Accounting-related and cost-law tasks
Initiating payments and checking incoming payments
Checking and processing invoices, in particular under the German Lawyers' Remuneration Act (RVG) and the Court Fees Act (GKG)
Preparation of applications for cost assessment
Review of cost assessment orders and attorney invoices
Receivables management & enforcement (primarily in the real estate context)
Support in handling outstanding receivables from rental and ancillary cost relationships
Monitoring outstanding receivables
Preparation of dunning letters and installment payment agreements
Preparation of court-based dunning procedures and enforcement measures
Checking payment arrears and reconciling with accounting
Preparation and support for dunning and litigation procedures
Drafting and sending payment reminders
Assistance with communication with external attorneys, courts and authorities and documentation of all processes in the digital system
Preparation of regular analyses and reports in receivables management (e.g. arrears development, dunning status, success rates)
Analysis of receivables data to support internal decision-making
Maintenance and updating of status information in the administration system
Ensuring consistent, up-to-date and traceable data
Requirements
Completed training as a legal assistant (Rechtsanwaltsfachangestellte), paralegal or comparable qualification
Willingness to take on new tasks beyond the classic law firm routine
Experience in receivables/claims management, ideally in the real estate sector
Structured, careful and independent way of working
Interest in real estate and legal issues
Confident handling of beA, MS Office and digital file structures & tools (SharePoint)
High reliability, sense of responsibility and discretion
Strong communication skills and enjoyment of team-oriented collaboration
