Proactively manage and maintain executive schedules, including travel, internal and external meetings, helping the leadership team advance Company priorities and efficiently execute strategic objectives.
Drive cadence and organization of weekly recurring meetings involving the executive team, ensuring preparation and advance communication of scheduling modifications.
Manage details and logistics for quarterly in-person Board meetings, including Director accommodations and travel, site preparation (both internal and external venues), meal planning, and transportation.
Assist with preparation and planning for occasional Company events and external conferences attended by Company leadership (both domestic and international).
Track executives’ expenses, collect Directors’ meeting expenses, and prepare submission for reimbursement.
Support teams with travel between offices, assisting with travel policy compliance, booking resources, and visibility.
Manage and/or support ad hoc projects, often requiring cross-functional and inter-office collaboration, as well as individual initiative.
Develop clear, concise, and precise communications for executive, Board, and organization-wide audiences.
Assess incoming issues to determine levels of urgency and appropriate courses of action.
Exercise professionalism interacting with team members, keeping objectivity intact; exhibiting a willingness to help and maintain an approachable, personable, and calm demeanor.
Help maintain positive team environment, establishing collaborative working relationships throughout the Company. Open to building mutual respect and trust.
Requirements
Bachelor’s degree or equivalent combination of education and experience.
Minimum of 5 years of experience in an administrative support role, with at least 3 years of supporting executives.
Strong sense of urgency, personal accountability, and flexibility; ability to anticipate needs and exceptional follow-through.

Superior organizational aptitude, detail orientation, and collaborative problem-solving expertise.
Organized and accurate in the management of a high volume of details.
Demonstrated ability to handle confidential and sensitive situations with discretion and grace.

Proficient and contemporary computer skills; advanced MS Office experience.
Experience with SAP Concur a plus.
Must be able to work in the US without sponsorship.
