Prepare, submit, and track materials through client compliance and regulatory review systems, ensuring accuracy, completeness, and adherence to submission requirements
Use AI tools to improve the speed and quality of proofing, documentation, version tracking, status reporting, and day-to-day coordination tasks
Route deliverables through internal and client approval workflows, monitoring status and following up proactively to keep timelines on track
Maintain version control, references, and documentation across all submitted materials throughout the project lifecycle
Review and proof materials for accuracy and adherence to client guidelines before submission, catching issues before they reach the client
Coordinate with creative, data, and development teams to gather and finalize deliverables that are complete and ready for submission
Provide direct support to clients on day-to-day requests, maintaining professional and responsive communication at all times
Help maintain project trackers, status documents, and client-facing reports that give the team and clients clear visibility into project progress
Become deeply familiar with assigned clients, their products, services, and submission requirements — building the knowledge base needed to support them at a high level
Assist the account team with event coordination and logistics as needed, including occasional travel to support events or client meetings approximately one to two times per year
Requirements
1 or more years of relevant work experience; agency or healthcare and regulated-industry experience a plus
An AI-native mindset. You actively use tools such as ChatGPT, Claude, or productivity platforms to improve how you organize work, draft communications, and manage documentation — and you can speak to the impact
Exceptional attention to detail and accuracy, particularly with compliance documentation, version control, and submission workflows
Experience with compliance, regulatory, or content review and submission workflows preferred
Strong organizational and project coordination skills with the ability to manage multiple priorities and deadlines simultaneously without losing quality
Action-oriented and resourceful — you do not wait for direction when a path forward is clear, and you follow through without needing close oversight
Strong verbal, written, and client communication skills, with a genuine commitment to delivering excellent service
Proficient in Microsoft Word, Excel, and PowerPoint
Bachelor's degree required
