Provide high-level administrative and organizational support to members of the Product Leadership Executives.
Proactively manage complex and dynamic calendars, coordinating meetings and appointments across multiple global time zones.
Prepare meeting materials with attention to detail, including agendas and pre-reads. Attend meetings, take notes, track action items, and ensure timely follow-ups.
Coordinate domestic and international travel arrangements and detailed itineraries.
Monitor executive inboxes, identifying priorities, and surfacing urgent matters for timely action.
Process expenses accurately and in a timely manner.
Collaborate cross-functionally with other Executive Assistants and business units to optimize workflows and prioritize business needs.
Support strategic execution and accountability for the Product Leadership roadmap.
Plan and coordinate team on-sites and large meetings.
Assist with ad-hoc office projects and other duties as required to support the efficiency and effectiveness of the office and teams.
Assist with onboarding and interview scheduling for the Product Leadership team.
Requirements
5+ years of experience supporting senior leaders in an executive assistant or comparable coordination role.
Proven ability to handle pressure, work efficiently, and stay calm and organized in a fast-paced, changing environment.
Experience working in a similar, fast-growing international company.
Strong organizational skills and the ability to manage multiple moving pieces without losing sight of details.
A self-starter mindset with sound judgment, strong follow-through, and the ability to anticipate needs before they become blockers.
Ability to work both independently and collaboratively.
Strong comfort with Google Workspace or similar tools, especially calendar, document, and presentation workflows.
Excellent written and verbal communication skills, with confidence working across all levels of the organization.
Experience working across Europe and US time zones is a strong plus.
Flexibility to work evening hours when needed.
Willingness to travel as needed to support leaders, events, and on-sites.
Ability to handle confidential information with care and professionalism.
