Role description:
This role will be responsible for providing administrative support to the Workplace Facilities Manager and control the reception to the office as required. The Senior Housing Coordinator role reports directly to the Workplace Facilities Manager.
Role accountabilities:
The main responsibilities of this role include, but are not limited to:
- Designated reception cover to handle incoming calls and welcoming visitors and contractors to the office in accordance with company standards
- Assisting local office administrative team to ensure they provide consistent, efficient, and quality services to internal and external personnel
- Coordination of both Fire Warden and First Aid training and qualified personnel ensuring sufficient coverage in accordance with staff numbers
- Provide support to the H&S Manager to ensure that the office environment complies with Health and Safety regulations and guidelines sufficient for inspections
- Responsible for the issuance and audit of security passes for visitors and staff
- Liaising with building management to arrange additional tasks or contractors associated with the day to day running of the office
- Support to other internal teams providing information to coordinate and obtain accreditations
- Routine updating of workplace related policy & procedural documentation and intranet sites
- Assist in the implementation of maintenance programs and schedules
- Undertake office inspections and report identified issues
- Setting up meetings and event spaces, including movement of furniture, catering, maintaining room tidiness (requires a level of physical fitness)
- Providing meeting room A/V support
- Performing other duties and responsibilities as required from time to time by your manager and Arcadis
Qualifications & Experience:
- Relevant experience in a professional environment
- Organised, methodical and with a good work ethic
- Relevant qualification or experience in Administration & Facilities Management, including First Aid and Fire Warden qualifications
- Excellent communication and relationship building skills, both internally and externally
- Experienced user of Microsoft Office packages
- Well organised with high level of attention to detail, and ability to maintain confidentiality
