
At NorthBay Health the Administrative Support Specialist greets and directs visitors upon their arrival at GVAC and contacts departments receiving visitors. Responsible for providing secretarial, office support and assistance to the AVP of Strategic Development, the managers and the department. Performs general office functions including typing, filing, scanning, purchasing, answering telephones, data entry, and assisting vendors. Manages the electronic conference center calendar and reservations. Handles complex meeting arrangements, accounts payable, policies and procedures, invoices and budgets. The position requires excellent communication skills, the ability to work independently with minimal supervision and a high attention to detail. This position calls for flexibility, ability to multi task, and work well with all levels of management and staff.
Primary Job Duties
Greets everyone in the lobby at GVAC with exemplary customer service, provides directions, answers questions, and accepts small packages.
Handles secretarial and clerical day to day support activities for division such as photocopying, scanning, processing incoming and outgoing mail, faxing, special mailing projects, ordering and maintaining office supplies and equipment.
Creates and posts daily schedule.
Works with Day Porter to resolve questions about reservations.
Schedule meetings and conference rooms, using good judgment pertaining to timeframes so that business is conducted in time to meet deadlines.
Handles accounts payable allocations and coding and other recordkeeping support responsibilities associated with the day-to-day operations.
Assists with annual capital and operating budget processes. Assists with department budgeting and financial recordkeeping

Education:
High school graduate or equivalent preferred.
Administrative college courses preferred.
Experience:
Minimum of two years general clerical experience.
General computer skills.
Experience in Healthcare environment preferred.
Experience in fast-paced customer service environment desirable.
Skills:
