Position Summary
The Parts and Service Coordinator plays a vital role in the efficient operation of our service department. This position is responsible for the entire lifecycle of parts management, from locating and ordering to receiving and verifying parts. The coordinator ensures that any incorrect or damaged parts are promptly returned to the vendor and that credits for these returns are accurately monitored and processed. The primary objective of this role is to expedite all repairs requiring parts, thereby minimizing cycle time and ensuring timely service delivery.

Essential Duties and responsibilities
• Ordering Parts and Supplies: Responsible for ordering all shop-related parts and supplies to ensure the workshop is well-stocked and operational.
• Inventory Management: Maintain control of the parts room and keep accurate inventory records. Ensure that all parts are properly labeled with part numbers and pricing.
• Parts Verification: Verify that all parts used on a unit are listed on the Pre-Delivery Inspection (PDI) sheet to ensure accuracy and completeness.
• Receiving and System Entry: Oversee the receipt of all arriving parts and enter them into the system manager promptly and accurately.
• Service Coordination: Work closely with the Service Manager to handle service-related calls and book service appointments. Provide the shop with a schedule of service appointments every Friday afternoon.
• Work Order Management: Initiate and complete service work orders, ensuring all necessary information is documented and entered into system manager.
• Winter Scheduling: Manage the scheduling of winter work orders and ensure all relevant information is entered into the system manager.
• Pre-Service Preparation: Ensure that all parts are ordered and available prior to booking service appointments to minimize delays.
• Customer Communication: Ensure customers understand and sign the service work order before any work begins. Contact customers after service completion and follow up 7-10 days later for feedback.
• Warranty Documentation: Complete warranty documents for Forest River, Pleasure Way, and SAL, ensuring all necessary information is accurately recorded.
• Sales Support: Keep the sales board updated and handle all special sales part requirements, such as awnings and generators.
• Collaboration: Work collaboratively with sales crew members to coordinate delivery schedules and ensure a smooth handover process.
• PDI Management: Ensure all PDIs are entered into the system manager and that parts used are subtracted from inventory.
• Fleet Coordination: Work with the fleet team to address any warranty issues and ensure timely resolution.
• Supply Orders: Order supplies for the preparation department and complete purchase order requirements in the system manager.
• Courier Coordination: Organize all non-office material courier pick-ups to ensure timely delivery and receipt of materials.
• Guest Experience Optimization: Collaborate with crew members to optimize the T.W.O (Total Wow Out) experience for guests and customers, ensuring exceptional service and satisfaction.
Skill Set, Education, and Experience
• Previous experience in parts management, inventory control, or a related field is preferred. Experience in the automotive or RV industry is a definite asset.
• Possess a valid and clean driver's license: Required for driving to service and delivery appointments.
• Strong ability to manage and organize parts inventory, ensuring accurate records and efficient retrieval of parts.
• High level of accuracy in verifying parts, labeling, and entering information into the system.
• Excellent verbal and written communication skills to effectively interact with vendors, customers, and team members.
• Ability to provide exceptional customer service, including clear communication and follow-up with customers regarding service appointments and feedback.
• Familiarity with inventory management software and other relevant technology. Ability to learn and adapt to new systems quickly.
• Strong problem-solving skills to handle issues related to parts availability, returns, and warranty documentation.
• Ability to work collaboratively with the service manager, sales crew, and other team members to ensure smooth operations and customer satisfaction.
• Efficiently manage time and prioritize tasks to meet deadlines and support the service department's needs.
• Willingness to adapt to changing priorities and work schedules, including handling peak periods and overtime as needed.
• Capability to handle the physical demands of the job, including lifting, standing for extended periods, and managing repetitive tasks.
Working Conditions
• Periodically lift and carry objects weighing over 50 pounds.
• Reach above and below shoulder level.
• Perform extended periods of data entry.
• Spend extended periods kneeling, bending, squatting, and stooping to complete or inspect repairs.
• Inspect vehicles outdoors, potentially in inclement weather.
• Work in an environment with exposure to fumes, chemicals, high levels of dust, and noise.
