Collins Aerospace, an RTX company, is a leader in technologically advanced solutions for the aerospace and defense industry. They are seeking a highly experienced Executive Administrative Assistant to support the Executive Director of Business Development, providing comprehensive administrative support and managing communications with stakeholders.
Responsibilities:
- Provide comprehensive executive-level administrative support to the Executive Director of Business Development, including complex calendar management, travel coordination, and expense reporting
- Serve as the primary point of contact and liaison between the Executive Director and internal/external stakeholders, including government clients, partner organizations, and internal business units
- Provide basic administrative support to the Mission Systems business development leader team including routine calendar management, travel coordination and expense reporting
- Leverage in-depth knowledge of Collins Aerospace internal systems, workflows, and processes to coordinate cross-functional business development activities and proposal efforts
- Prepare, edit, and distribute high-quality correspondence, briefings, presentations, and reports on behalf of the Executive Director
- Support coordination of capture activities, gate reviews, and proposal submissions in accordance with internal BD processes and approval workflows
- Arrange and support executive meetings, off-sites, and conferences, including agenda development, logistics, and minutes/action item tracking
- Handle sensitive and confidential information with the utmost professionalism and discretion, in compliance with ITAR, export control, and security regulations
- Coordinate with contracts, legal, finance, engineering and program teams as needed to support business development initiatives
Requirements:
- Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 8 years relevant experience
- 5+ years of executive administrative experience supporting Senior Director-level or above leadership, preferably within the aerospace or defense industry
- Demonstrated, hands-on experience with Collins Aerospace processes, systems, and internal tools — this is a non-negotiable requirement. Candidates must be able to speak in detail to this experience during the interview process
- Strong working knowledge of defense industry business development practices, including capture management, proposal lifecycles, and government procurement processes
- Exceptional written and verbal communication skills, with the ability to draft executive-level correspondence independently
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration platforms such as SharePoint and Microsoft Teams
- Demonstrated ability to manage multiple high-priority tasks simultaneously with minimal supervision
- Strong interpersonal skills and professional presence when interfacing with senior leaders, customers, and partners
- Prior employment at Collins Aerospace in an administrative, program coordination, or BD support role
- Experience supporting strategic pursuit activities
- Experience with CRM tools such as Salesforce
- Associate's or Bachelor's degree in Business Administration, Communications, or a related field
