The HR Operations Specialist II plays a critical role in delivering a seamless and compliant employee experience across the full employee lifecycle. This position is responsible for managing onboarding and offboarding processes, administering employee benefits programs, supporting compliance initiatives, and maintaining accurate HR systems and reporting.
Working closely with HR leadership and cross-functional partners, this role supports operational excellence through process improvement, data analysis, and system optimization (including Workday workflows). The HR Operations Specialist II also serves as a trusted employee resource for benefits, compliance, verifications of employment, and general HR inquiries.
Employee Lifecycle & Onboarding
Manage the onboarding lifecycle from offer letter through new hire integration, ensuring a best-in-class and compliant experience across multiple states.
Oversee and continuously improve the New Hire orientation sessions to align with company culture and scaling needs.
Coordinate and manage the offboarding process to ensure smooth transitions and compliance.
Ensure completion and accuracy of all onboarding and offboarding documentation and system updates.
Benefits Administration & Leaves
Administer employee benefits programs including medical, dental, vision, life insurance, and wellness initiatives.
Support enrollment, renewals, qualifying life events, and distribution of benefits information.
Partner with benefits vendors and consultants to ensure service quality and compliance.
Serve as the primary point of contact for employee benefits inquiries and issue resolution.
Lead leaves of absence and accommodations administration in partnership with external administrators.
Conduct benefits orientations and assist with employee education sessions.
Compliance & Reporting
Ensure compliance with applicable federal, state, and local laws including ACA, FMLA, ERISA, and multi-state employment regulations.
Prepare and support filing of required compliance reports and audits.
Maintain accurate employee data and conduct regular audits to ensure data integrity.
Stay current on legislative updates impacting benefits and HR operations.
Systems, Reporting & Process Improvement
Utilize Workday (or HRIS) for data entry, workflow management, reporting, and data tracking.
Generate, update, and maintain reports for cross-functional stakeholders.
Analyze HR data to identify trends and recommend improvements.
Identify process inefficiencies and collaborate with HR team members to implement scalable solutions.
Employee Support & Programs
Serve as an employee advocate responding to inquiries routed through the HR inbox and/or ticketing system (Jira).
Manage verifications of employment and support immigration coordination with outside counsel.
Provide administrative and transactional support across HR functions including performance management, compensation, and benefits initiatives.
Maintain confidentiality and discretion in handling sensitive employee information.
Bachelor’s degree in human resources or related field preferred.
3+ years of progressive experience in human resources or HR operations required.
Experience administering employee benefits and leaves & accommodations, and supporting compliance initiatives required.
Experience managing onboarding and offboarding processes across multiple states required.
Experience with HRIS systems (Workday preferred).
Intermediate Excel proficiency and comfort with reporting and data analysis preferred.
Strong analytical and problem-solving skills with high attention to detail required.
Excellent verbal and written communication and organizational skills required.
Independent self-starter who can work with minimal direction and proactively recommend process improvements preferred.
Demonstrated ability to handle confidential information with discretion and professionalism required.
Compensation:
$85,000 - $93,500
On target ranges above include base plus a portion of variable compensation that is earned based on company and individual performance.
The final compensation will be determined by a number of factors such as qualifications, expertise, and the candidate’s geographical location.
