The Associate, Financial Services (Broker Sales Support) assist Financial Advisors and provide clients with quality service for Oriental Financial Services (OFS). Also perform various administrative and office functions including planning and organizing meetings, preparing and typing correspondence and maintaining records, files and database related to Sales Manager and Financial Advisors. This position will be working on site and is based in San Juan, PR.
MAJOR DUTIES & RESPONSIBILITIES:
- Promote other services within business as opportunity arises.
- Coordinate all relations between the clients and other bank departments.
- Follow up all client’s concerns in order to provide fast and reliable solutions in matters related to Keogh plans, Annuities, 401K accounts, IRA accounts, brokerage accounts, and certificates of deposit among others.
- Coordinate promotional materials with wholesalers for the Financial Advisor, Operations Department and clients.
- Give prompt follow-up to all inquiries, clients calls requesting checks, balances and statement copies, IRA renewal (OFS clients).
- Reconcile accounts if discrepancy occurs.
- Answer phone calls, including the support to the receptionist.
- Assist in the development of potential customers’ presentations.
- Process and review monthly payment to customers.
- Actively participate in the coordination of activities related to the retention of clients or attraction of new customers.
- Perform other assignments upon request of the supervisor.
- Other duties may be assigned.
MINIMUM REQUIREMENTS:
- Bachelor’s degree in Business Administration with Major in Office Administration or related field, required.
- One (1) years of experience as an Administrative Assistant or related experience required.
- Minimum education and experience required can be substituted with the equivalent combination of education, training and experience that provides the required knowledge skills and abilities.
- Excellent communication skills and the ability to work collaboratively and effectively with diverse staff, colleagues, and clients.
- Fully Bilingual – English and Spanish (written and verbal) required.
- Candidates must be highly analytical, proactive problem solving, organized, detail oriented and able to multitask observing the defined quality standards..
- Proficiency in MS Office (Word, Excel, Outlook) and other business applications required.
