JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Accounting Assistant provides full administrative and business support to the Department Chair/Director, faculty and staff for the academic Department of Comparative Medicine (DCM) and Lab Animal Care Unit (LACU) that serves as the campus-wide research animal resource program and core university laboratory facility. This position is responsible for the timely and accurate ordering of research animals and supports the administrative and business functions of the Office of Safety Affairs.
- Maintains, operates, and trains users (research staff) on a web-based animal ordering system.
- Reviews and corrects on-line animal requisitions, validating orders against approved animal care and use protocols.
- Places orders for animals with various vendors; contacts investigators and provides options when order availability from the vendor may not meet requisition specifications.
- Resolves shipping errors by determining delinquency; collaborates with vendors to secure corrected shipment or credit as expeditiously to avoid delays in the research.
- Enters animal invoice onto the Oracle and ACIM billing systems, allocating animal costs, freight, and other miscellaneous charges to appropriate codes on the investigators’ account.
- Processes invoices for payment from purchase orders, contracts and general payables.
- Maintains the unit order management system to ensure accurate accountability of purchases.
- Serves as assistant to departmental chair by preparing correspondence, scheduling meetings, coordinating calendar and providing any other needed duties.
- Determines proper POETAF information/GL code and enters into DASH.
- Performs other duties as assigned.
EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: Four (4) years of experience in office administrative, financial, and accounting experience (preferably in higher education); OR Associate’s Degree and two (2) years of experience in office administrative, financial, and accounting experience; OR Bachelor’s Degree in lieu of experience.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Ability with keyboarding, word processing, developing spreadsheets, composition of letters and memos.
- Proficiency in Microsoft Office and Adobe Acrobat.
- Strong organizational skills with the ability to solve problems.
- Excellent grammar skills, independent and detail oriented.
- Previous Oracle/DASH experience preferred.
- Knowledge of budgetary, forecasting and accounting standards.
