SUMMARY
The Purchasing & Storeroom Clerk is responsible for supporting the Club’s procurement and inventory operations by accurately processing purchase documentation, maintaining records, and assisting with storeroom organization. Reporting to the Purchasing & Storeroom Manager, this role helps ensure efficient inventory flow and accurate record-keeping.
RESPONSIBILITIES
Documentation & Processing
- Receive and review purchase orders, invoices, and delivery documents for accuracy and completeness.
- Enter purchasing data into inventory and accounting systems.
- Assist in preparing and filing procurement documentation.
Inventory Support
- Help maintain organized storeroom conditions, ensuring proper labeling and storage of supplies.
- Assist with inventory counts and stock level monitoring.
- Report discrepancies or stock shortages to management.
- Place orders through our Food Trak System based on each department’s established par levels and ensure timely delivery and proper stocking of all items.
Communication & Coordination
- Coordinate with suppliers and internal departments regarding order status and delivery schedules.
- Support the storeroom staff with receiving and distributing supplies as needed.
Record Keeping & Reporting
- Maintain up-to-date purchasing and inventory records.
- Generate reports as requested to assist with procurement tracking and budget management.
Requirements
KNOWLEDGE, SKILLS, ABILITIES
- Strong attention to detail and organizational skills.
- Basic knowledge of purchasing and inventory processes.
- Proficiency with Microsoft Office and inventory or accounting software preferred.
- Good communication skills and ability to work in a team environment.
- Ability to perform clerical tasks accurately and efficiently.
EDUCATION, CERTIFICATIONS, & EXPERIENCE
- High school diploma or equivalent required.
- Previous experience in purchasing, inventory control, or clerical roles preferred.
- Experience in hospitality or private club settings is a plus.
EXPECTED WORK HOURS
This is a full-time, year-round position.
Schedule: Availability is required between 7:00 a.m. and 6:00 p.m., Monday through Sunday, with a schedule that varies based on business needs.
