Job Description
The Recruiting Coordinator provides administrative and operational support to the recruiting team, ensuring a smooth and efficient hiring process for candidates, hiring managers, and interview panels. This role is highly organized, detail-oriented, and service-focused, with a strong emphasis on scheduling, candidate communication, data maintenance, and recruiting process support. The ideal candidate thrives in a fast-paced environment, can manage multiple priorities, and demonstrates professionalism and responsiveness in all interactions.
Core Responsibilities
- Coordinate and schedule interviews with candidates, hiring managers, and interview panel members.
- Manage candidate and hiring team follow-up to ensure timely communication throughout the recruiting process.
- Support recruiters with interview logistics, confirmations, reminders, and rescheduling as needed.
- Maintain accurate data in applicant tracking systems, spreadsheets, and other recruiting tools.
- Assist with general administrative tasks related to recruiting operations, including document preparation, process tracking, and record maintenance.
- Support sourcing activities and recruiting projects by organizing candidate information, outreach lists, and pipeline data.
- Partner with recruiters and hiring managers to help keep hiring processes moving efficiently.
- Provide support for recruiting team initiatives, special projects, and general day-to-day needs.
- Track deadlines, action items, and follow-ups to help ensure timely completion of recruiting activities.
- Contribute to a professional and responsive candidate and hiring manager experience.
Qualifications
- 1–3 years of experience in administrative support, recruiting coordination, human resources, or a related role.
- Strong organizational and time management skills with the ability to handle multiple priorities.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Ability to handle confidential information with discretion.
- Proficiency with Microsoft Office, especially Outlook and Excel.
- Experience working with applicant tracking systems or scheduling systems preferred.
- Ability to work effectively with candidates, hiring managers, and internal partners.
- Strong customer service mindset with a calm and professional demeanor.
- Ability to work in a fast-paced environment and adapt to changing priorities.
