Regency Oaks is recruiting for a hospitality focused Director of Administrative Services to join our team!
The Director of Administrative Services/Executive Assistant provides administrative support to the Executive Director, as well as additional support to their respective departments as required.
Compensation Range: $61,000-$63,000
ESSENTIAL JOB DUTIES:
1. Assembles regular written, verbal, and virtual correspondence to residents and associates on behalf of administration and as directed by supervisors.
2. Performs administrative support tasks for key executives: drafts and types letters, memos, newsletters, and documents; transcribes dictated correspondence and meeting minutes.
3. Maintains calendars and schedules; schedules appointments and coordinates the scheduling of events or meetings; makes travel arrangements.
4. Administers multiple projects and provides project management as requested by supervisor. Directs and coordinates activities of internal and external personnel to ensure projects progress as scheduled and within prescribed budget.
5. Performs public relations duties: answers phones and delivers messages, has significant contact with internal and external professionals and other key contacts, writes and submits press releases.
6. Manages the creation and set-up of presentation materials for the executive group and other key contacts.
7. Develops and maintains organizational systems for records.
8. Greets residents, clients and visitors and informs necessary parties.
9. Applications and software support for Doormakaba, Sharepoint, Point Click Care, AP Express, Text em All and Appy pie.
10. Manages the front desk and security staff and ensures adequate coverage for all shifts.
OTHER JOB DUTIES:
1. Maintains consistent presence with residents, associates and guests entering and exiting Executive Offices.
2. Delegates tasks and initiatives to concierge, security and administrative support associates as needed.
3. Administrative and strategic support for sales and marketing department on behalf of administration as needed.
4. Performs specific work duties and responsibilities as assigned by supervisor.
QUALIFICATIONS:
1. High School education, associate's degree preferred.
2. Strong written and verbal communication, critical thinking skills.
3. Must have 3-5 years' experience in administrative or executive support role.
